The Output IR56M Data File function is used to generate an official IR56M data file—formatted in accordance with Hong Kong Inland Revenue Department (IRD) specifications—for electronic submission. This file consolidates all remuneration records for eligible non-employees (e.g., contractors, freelancers, service providers) as defined in the IR56M batch generation. The main purpose is to streamline, automate, and standardize your company’s reporting of payments to non-staff for tax compliance.
Usage and Importance
File Preparation: After generating/amending the IR56M batch, users can export the complete IR56M data set into an XML file fulfilling IRD’s technical requirements for electronic filing.
Submission to IRD: The generated file is uploaded via the IRD’s Employer’s Return e-Filing Services. This electronic format is mandatory for compliant submission, ensuring all records are encoded, structured, and justified as required by the IRD.
Control List: Alongside the data file, HRPro outputs a Control List that summarizes contents, serving as a verification checklist and control document for both internal audit and IRD record-keeping.
Amendment Support: If there are post-generation corrections, the IR56M amendment allows for adjustment before exporting the final file.
Batch Management: Simplifies batch output by consolidating all relevant records, facilitating error-free submissions, and version tracking.
