The Statutory Sick Leave Applicable Balance is the number of statutory sick-leave days an employee can use for a sick-leave application. For consecutive sick leave, HRPro uses the balance available at the start of the continuous absence, rather than allowing the balance to increase during that same absence.
Employees may receive several medical certificates and submit more than one statutory sick-leave application for one continuous illness.
HRPro treats consecutive statutory sick-leave applications as one continuous leave period. This prevents the total approved leave from exceeding the employee’s applicable statutory sick-leave balance at the start of that period.
An employee has 120 days of statutory sick leave available on 1 August.
The employee submits the following consecutive applications:
After the first two applications are approved, the employee has used 80 days.
Although the third application requests 41 days, HRPro allows only 40 days:
120 days available at the start−80 days already used = 40 days remaining
This means the employee cannot take a total of 121 consecutive statutory sick-leave days when only 120 days were applicable on the first day of the continuous leave.
When a statutory sick-leave application follows immediately after another statutory sick-leave record, HRPro:
Identifies the first day of the continuous sick-leave period.
Uses the statutory sick-leave balance available immediately before that period began.
Deducts statutory sick leave already taken during the same continuous period.
Shows the remaining amount as the Applicable Balance.
The calculation continues across separate leave applications. Submitting a new application or providing a new medical certificate does not restart the balance.
Depending on the company’s HRPro configuration, pending statutory sick-leave applications may also be included in the calculation.
This helps prevent multiple pending applications from collectively exceeding the employee’s available statutory sick-leave entitlement.
This rule applies to consecutive statutory sick-leave applications.
If there is a break between sick-leave periods, HRPro may calculate the balance for the new leave period separately.
The normal statutory sick-leave accumulation limit remains 120 days.
Company leave rules may provide benefits that are more generous than statutory sick leave.
