Email Template is under Master Management.
The "Email Template" allows users to create, customize, and manage email templates for various HR-related communications. This feature helps streamline and standardize email communications, ensuring message consistency and professionalism.
The following functions utilize the Email Template,
"Output to Email" function in Report Control on various reports (e.g. Pay Slip, Employee Annual Leave Status). So different reports can have different email templates.
Mail Merge to merge email.
Reply Email in Update Personal Particulars Approval.
Welcome Emails for new hires.
Email Address Selection: You can select either the Company Email or the Personal Email as the recipient for this email template. However, this choice applies only to the Mail Merge and Welcome Emails functions. For the "Output To Email" feature in HRPro reports, this setting is disregarded. Instead, the email destination follows the "Use Personal Email for Pay Slip" or "Use Personal Email for IR Forms/Reports" options specified in the Employee Master under the HR Info tab.
Email Subject and Email Content: The merge fields allow each recipient to customize their emails with their name, employee number, specific dates, and other details. For example, using the mail merge function, HRPro will replace [EE_NAME], [Period], [EmailFromName], and [Email] with the actual data for each employee, generating individual emails for each person.
Email CC:Â CC (Carbon Copy) refers to the option to include additional recipients in the email. When you use the mail merge function to send bulk emails, you can specify email addresses to be included in the CC field. This ensures that these recipients receive a copy of the email along with the primary recipient.
Email BCC: BCC (Blind Carbon Copy) is an option to include additional recipients in the email who will not be visible to other recipients. When you use the mail merge function to send bulk emails, you can specify email addresses to be included in the BCC field, but ensure their email addresses remain private.
Email Data Source: This is to define where the merge codes come from; the available options are Employee Master, Payroll Batch, and Mid-Month Payroll Batch.
Share Email Template: If turned on, the email template will be available to all HRPro users. Otherwise, only you can view and select this Email Template for usage.
