HRPro AI Smart Paste helps users fill multiple form fields from unstructured clipboard text (e.g., from emails, CVs, resumes, onboarding forms, or spreadsheets) through AI instead of manual field-by-field entry, making data entry faster and reducing errors, but you should always review the suggested values before applying them to the employee record.

What AI Smart Paste does

AI Smart Paste reads the text you paste and suggests values for common Employee Master fields such as:

• Name (surname and other name)

• Preferred or call name

• Chinese Name

• Sex

• Date of birth

• Mobile and phone numbers

• Email addresses

• Residential address

• Position

It works best when the pasted content is clearly labeled (for example: “Full Name”, “Date of Birth”, “Mobile”, “Personal Email”).

Before you start

• Open the Employee Master Create or Edit screen.

• Prepare text for one employee only.

• Make sure the text contains clear employee details where possible, such as name, date of birth, sex, mobile number, email address, address, or emergency contact details.

• Remember: AI Smart Paste does not save the record automatically. You remain responsible for the final data.

How to use AI Smart Paste

• Open the Employee Master Create or Edit screen. 

• Copy the block of text from the source.

• Click the AI Smart Paste button in the upper-right corner.

• Start the Smart Paste process.

• Review the suggested field updates in the review window.

• Select the fields you want to apply.

• Click Apply Selected, then review the screen and save the record.

Tips for better results

• Use one block of text for a single employee.

• Include labels like “Mobile”, “Personal Email”, “Date of Birth”, and “Residential Address”.

• Keep employee details separate from spouse, payee, and emergency contacts unless clearly labeled.

• Treat Smart Paste as a helper, not a replacement for HR review.

• Always verify key information (for example: HKID, dates, addresses, and contact details) before saving.

Good input examples

AI-assisted form fill works better when the pasted content is clear, labeled, and limited to one person. Documentation for auto-fill features recommends providing examples of good input so users understand what kind of content works best

Why is a field blank?

Because the pasted text did not clearly contain that value or it could not be matched with confidence.

Can Smart Paste overwrite existing values?

It can update fields you choose in the preview. Review all suggested changes before clicking Apply Selected.

Does Smart Paste save automatically?

No. It updates selected fields on the screen, and you still need to save the employee record yourself.
