Employee Portal Setup, Overtime Compensation tab is under System Manager ⇒ HRPro Setup, Employee Portal Setup
General Functions
Enable "Subordinate Overtime Compensation Application History": When turned off, the Subordinate Overtime Compensation Application History will not be available on the Employee Portal menu.
Overtime Compensation Application
Enable "Overtime Compensation Application": When turned off, the Apply Overtime Compensation will not be available on the Employee Portal menu.
OT From/To validate against Schedule In/Out Time: When turned on, applicants must provide the Overtime time range out of their normal working hours when applying for Overtime Compensation. If turned off, OT Time is the time difference of the given OT From/To.
OT From/To validate against Attendance Records: When turned on, applicants must provide the Overtime time range recorded as overtime in the Attendance Record.
When compensated by Compensation Leave, Entitlement on: When it is to set the Adjustment Date of the created Leave Adjustment (the entitlement) upon the Overtime Compensation Approval. Options are Approval Date, OT Date, or Apply Date. This option is good for determining the Compensation Leave Expiration date (i.e. The number of days that this entitlement will forfeit if not taken). By setting the option Com Leave Entitlement Retention Days in Leave Entitlement Class, Compensation Leave tab.
Allow Overtime Compensation compensated by OT Pay: When turned on, you may consider setting OT Pay Calculation based on Attendance Records to No in Attendance Module Setup, General tab, Payroll Integration panel. (See How to determine OT Pay?).
When compensated by OT Pay, Payroll Period covered: It is to set how the payroll covered the Approved Overtime Compensation Application.
If it is set to OT Date, the payroll covers the approved applications for the OT Dates within the Attendance Period. (e.g. Payroll Period 2021/01 covered the Approved OT Compensation Applications that the Attendance Period of the OT Dates are 2021/01).
If it is set to Approval Date, the payroll covers the approved applications that the Approved Dates are within the Attendance Period. (e.g. Payroll Period 2021/01 covered the Approved OT Compensation Applications that the Attendance Period of the Approved Dates is 2021/01).
"Overtime At" allows: It specifies the options for "Overtime At" in the Overtime Compensation Application.
Overtime Compensation Approval
Enable "Overtime Compensation Approval": When turned off, the Overtime Compensation Approval will not be available on the Employee Portal menu.
Allow Unapproved Overtime Compensation Application Withdrawal: When turned off, the applicant cannot withdraw (delete) his/her unapproved Overtime Compensation application.
Email Notification
Disable Email Notification for Overtime Compensation Application: When turned on, No Email notification will be sent to the approvers and the applicant.
Enable HR to receive Approved/Rejected Email: When turned on, the HR Email address will be included in the carbon copy (CC) of the Approved/Rejected email notification when the approver approves the application.
Enable Department Manager to receive Approved/Rejected Email: When turned on, the Email of the Department Manager (defined in the Department) will be included in the carbon copy (CC) of the Approved/Rejected email notification when the approver approves the application.
Enable Division Manager to receive Approved/Rejected Email: When turned on, the Email of the Division Manager (defined in the Division) will be included in the carbon copy (CC) of the Approved/Rejected email notification when the approver approves the application.
Hide remarks from email notifications: When enabled, the remarks section will be excluded from the email content.
Explanation on Employee Portal
When defined, the explanation will be shown on the Apply Overtime Compensation screen.
Overtime Compensation by Whole Day
When Com Leave based on days, allow OT by Whole Day: When turned on, Overtime Compensation by Whole Day is allowed for Overtime Compensation Application.
When Minimum OT Days to Compensate is defined. The applicant must apply at least the defined days when applying to OT Com by a whole day.
When Maximum OT Days to Compensate is defined. The applicant must apply not more than the defined days when applying OT Com by a whole day.
Overtime Compensation by AM/PM
Overtime Compensation by AM/PM: When turned on, OT Com by AM/PM is allowed for Overtime Compensation Application.
Overtime Compensation by Time
Allow Overtime Compensation by Time: When turned on, OT Com by Time is allowed for this Overtime Compensation Application.
When Minimum OT Minutes to Compensate is defined. The applicant must apply at least the defined minutes when applying for OT Com by time.
When Maximum OT Minutes to Compensate is defined. The applicant must apply not more than the defined minutes when applying for OT Com by time.
Allow OT Hours only in multiples of: When defined, the applicant must apply the OT Com hours for the increment of the predefined hour when applying OT Com by time. E.g. if Allow OT Com Hours only in multiples of 0.5 hours, the applicant must apply OT Com by time for 0.5 hours, 1.0 hours, 1.5 hours, 2.0 hours, etc.
Approval Workflow
Approver 1, 2, 3, 4, and 5 to define the number of Approvers required and the approver sequence for Overtime Compensation Approval.
