Attendance Record

Attendance Record is under Attendance.

The Attendance Record screen in HRPro is used to track and manage employee attendance. It allows managers to monitor employee time, leave, overtime, and other related activities with precision.

Attendance Record is the place to input or amends the attendance record of a particular employee in a particular month. Usually, attendance records are captured by an attendance device and imported from Attendance Import.

Click the corresponding button to view or edit the Attendance Record Detail of the employee in the Attendance period. 

Click the Attendance History button to view the Attendance Records for periods other than the listed periods.

Use the red delete [-] button to delete the Attendance Records of the Employee of a particular period. To delete all attendance records of a particular period, use Attendance Update

Click the green edit button to view or edit the Attendance Record Detail.

After importing the raw data, an Attendance Entry is created. The attendance data can be edited here. OT hours and late minutes are calculated automatically. 

Shift Code is either the assigned Shift Code of that day for Roster Employee or Work Hours Code for Global Working Hours Employee. 

If the Roster of the employee is not yet defined before the import, Shift Code is the Default Shift of the Roster for that employee if "Use Default Shift if no Roster is defined" in Master Setup is turned on, or empty if that option is turned off. After the Roster is defined, You can run Attendance Update to update the Shift Codes and the Attendance status of the Attendance Records.

Whether the Meal Out Time or Meal In Time is shown depends on the Enable Meal Out/In checkbox option in the Attendance Module Setup. 

Whether the Rest Out Time or Rest In Time is shown depends on the Enable Rest Out/In checkbox option in the Attendance Module Setup

Whether the Call Back In Time or Call Back Out Time is shown depends on the Enable Call Back In/Out checkbox option in the Attendance Module Setup.  

Whether the Card In Time, Card Meal Out, Card Meal In, Card Rest Out, Card Rest In, Card Out Time, Card Callback In Time, or Card Callback Out Time is shown depends on the Show Card Times check-box option in the Attendance Module Setup

Worked Hours - For working days, worked hours are calculated from the In/Out times according to the settings in the Worked Hours panel of Global Working Hours/Shift Code, other settings tab. For non-working days, work hours are always zero. 

Regular Hours are the working hours that the employee is scheduled to attend according to the Global Working Hours/Shift Code settings. Usually, it is the Daily Working Hours/Saturday Hours inside the Working Hours panel. 

Remarks are editable and are the attendance remarks of this attendance record. 

Leave Remarks are non-editable and come from the remarks of the corresponding Leave Entry on that day. 

If you wish to reset the amended worked hours to card hours (card hours is the time clock information provided by the attendance device), highlight the date you wish to reset and click Set Worked Hours to Card Hours

If you wish to set the In/Out time to the Regular In/Out time (e.g. set In time to 9:00 and Out time to 18:00), highlight the date you wish to set and click Set Worked Hours to Regular Hours. If you wish to set the In Out time to Regular In Out time for all days in this period. Do not highlight any of the date (however if a date is already selected, press CTRL on the keyboard and click the selected row to make it unselected), and click Set Worked Hours to Regular Hours

To create leave record from Attendance Record (e.g. for an absent day), highlight the Date for the leave and click the Create Leave Entry button. 

You can click the Employee Name to show the statistic for the attendance period.

Total Worked Hours = Sum of Worked Hrs of each day within the Attendance Period

Total Regular Hours = Sum of Regular of each day within the Attendance Period (excluded the Leave)

Total Over Time Hours = Sum of OT Hours (Workday) of each day within the Attendance Period

Total OT Hrs (Rest day) = Sum of OT Hours (Rest day) of each day within the Attendance Period.

Total OT Hrs (Saturday/Off) = Sum of OT Hours (Saturday/Off) of each day within the Attendance Period.

Total OT Hrs (SH) = Sum of OT Hours (SH) (Statutory Holiday) of each day within the Attendance Period.

Total OT Hrs (PH -SH) = Sum of OT Hours (PH -SH) (Public Holiday not Statutory Holiday) of each day within the Attendance Period.

Total OT Hrs (CallBack) = Sum of OT Hours (CallBack) of each day within the Attendance Period. 

You can check the attendance import raw data by clicking the View Raw Data button if the option Keep Attendance Raw Data in Attendance Module Setup is turned on. Or print the report Time Records.
